The company PRODECO is an engineering contractor specializing in supplies and services to customers primarily in open pit mines and thermal power plants. The projects on which it works are time consuming in the range of weeks to several years. Documentation for them, including all invoices, contracts and change control management are now available for their workers with one click. This is thanks to Microsoft Dynamics NAV with the industry-specific solution, BIZ4BuildIn, from the company NAVISYS.
Access to information is the alpha and omega
From the beginning PRODECO used a business information system from local manufacturers. But this addressed only the financial management of the company and was not able to embrace all the processes. Principal activities of the firm - project management and supply of equipment - these systems were not supported. With the gradual increasing volume of project documentation and electronic as well as "paper" communication for individual projects, the lack of direct electronic access to information on the projects began to be problematic. The new management, which joined in 2006, decided that this situation had to change, because without actual data and quick access to relevant information it was no longer possible to move the company forward.
Local solutions are not able to adapt to the company
The company considered several options. After the implementation of the same system used by the parent company proved to be time consuming and economically inefficient, the company tried to address strong local suppliers to adapt to the system requirements the company had. But they failed. The company sought an alternative way. The new system should be sufficiently comprehensive to cover all processes, including project management and administration of all documentation for projects in electronic form. It should also be able to adapt to the individual requirements of companies so that they could maintain their main competitive advantage for decades in order to build a unique know-how. After several months of searching firms they assessed that the best alternative was Microsoft Dynamics NAV – with its strong multinational solutions and a high degree of adaptability.
Microsoft Dynamics NAV as a condition
In 2009 a tender was put out to supply Microsoft Dynamics NAV to cover all business processes. NAVISYS offered in addition to the standard ERP systems its own custom industry solution called BIZ4BuildIn, which addresses all key processes from opportunity management, through preparation and implementation of contracts, monitoring and project management, resource management and document management, to managing and controlling cash flow. Of course there is also graphic planning, including the usual Gantt diagrams, calculation and integration of systems and integration with the intranet portal using Microsoft SharePoint Server. It was these advanced functions that impressed the management at PRODECO the most.

NAVISYS launched the first project implementation in July of 2010. The big start then took place as early as 1 January 2011, after only 6 months. Microsoft Dynamics NAV greatly facilitated the work of a number of employees. Reporting, which was previously carried out manually in several different excel tables, is now fully automated. The new system has brought significant relief even for the employees in the finance department. Regular financial statements which previously took several days a month, is now done in one day. Top management, who spend roughly a fifth of the week on the road and at business meetings, can now access anytime all the information about company activities, and to the smallest detail. Every project, every contract and every unpaid invoice are now available for the management directly in Microsoft Dynamics NAV in just a few clicks.
The never-ending search for documents which circumvented the firm has completely disappeared
The biggest improvement, which was noticed by the customers and business partners of PRODECO, has been brought BIZ4BuildIn industry solution and integration of all documentation for individual orders directly into Microsoft Dynamics NAV. Now sitting at the shop with the customer one can choose from their laptop and immediately open any document relating to the project including, for example, the completion certificate sent by mail two years ago. This also accelerates negotiations with business partners. All information about previous business contacts, previous versions of contracts or information concerning the balance of payments is now available. Previously, just tracing paper documents was extremely time consuming and accessing this information directly at the customer‘s or business partner‘s would have been virtually impossible. It was not easy to read in dozens of folders with paper documents. Thanks to the electronic form all documents can be found through a hypertext, which greatly facilitates the work of employees.
The new system was positively evaluated even by auditors
PRODECO places great emphasis on professionalism and standardization of all processes and has a certified integrated management system in the range of norms ISO 9001:2009, ISO 14001:2005, OHSAS 18001:2008. It is a thorough documentation of processes and detailed manuals to help significantly accelerate the implementation of Microsoft Dynamics NAV. It was then helped by the re-certification for ISO 9001. In addition, auditors evaluated the implementation very positively and confirmed that the new system will help in the further development of the company from the perspective of an emphasis on standardization and compliance with set procedures.
